Executive Assistant

Job Summary

The Executive Assistant (EA) to the CEO will report to the Chief of Staff, providing direct support for the CEO and administrative support to the executive team, as needed. The EA is responsible for performing a variety of administrative tasks, including managing calendars, making travel arrangements, preparing expense reports, and the like. The person in this role must be highly self-motivated, efficient, professional, detail-oriented, and capable of managing their workload and prioritizing tasks in a fast-paced environment. A high level of professionalism and confidentiality is crucial in this role, as well as a commitment to superior service and team building.

Duties and Responsibilities

  • Serve as executive administrative assistant to CEO and assist Chief of Staff on occasion, managing schedules, travel arrangements, and expense reports

  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients

  • Provide support to Chief of Staff on new and existing projects, follow up with workstream owners, and tracking their progress

  • Serve as the New York City Office Manager, monitoring and managing issues such as repairs, updates, visitor experience, act as the main point of contact with building staff and vendors

  • Performs advanced administrative support duties which include creating/preparing correspondence, preparing varied reports and updates, scheduling and maintaining complex schedules in Outlook calendar, and overseeing and coordinating internal and external events

  • Coordinate meetings and arrangements for leadership meetings; Performs highly advanced administrative support duties which include coordinating complex and rapidly-changing travel and accommodations, coordinating meetings for the CEO and the others as required

  • Develop and sustain a level of professionalism and confidentiality among staff and clientele

  • Support other senior management team members on projects as directed by the Chief of Staff

Required Qualifications

  • Minimum of 8+ years as an Executive Assistant reporting directly to executive management

  • Outstanding organizational and time management skills

  • Fluency in all MS Office programs including strong PowerPoint skills

  • Fluency with Salesforce a plus

  • Advanced Outlook Calendar skills

  • A thought leader with strong organizational and project management skills with the ability to problem-solve and multi-task

  • Ability to be flexible when needed, take initiative, and demonstrate accountability

  • Intermediate level of investigative, analytical, and problem-solving skills

  • Exceptional interpersonal skills

  • Excellent verbal and written communications skills

  • Experience working at FinTech is a plus

  • Bachelor’s degree
